AI for Executive Assistants: safe, useful workflows
Use generative AI to improve preparation and quality without outsourcing judgement or exposing confidential information.
01
Begin with information classification
Before choosing a prompt, decide whether the material is permitted in the tool. Public, internal, confidential, personal and legally privileged information may require different controls. Employer policy overrides convenience.
- Use only approved accounts and tools
- Remove unnecessary personal information
- Do not paste board or employee material without authorisation
- Understand retention and training settings
- Keep a human reviewer accountable
02
Use AI for structure before authority
Low-risk uses include generating a meeting checklist, reorganising public information, producing alternative agenda structures or identifying questions missing from a plan. High-risk uses include legal conclusions, employee matters, confidential board summaries and executive decisions.
Useful: compare a public event agenda against a standard logistics checklist. Unsafe: upload an unreleased board pack to request a summary.
03
Build a verification loop
Check facts against the source, confirm names and dates, test whether the tone suits the stakeholder and keep the final decision with a responsible person. Fluency is not accuracy.
- Source check
- Privacy check
- Tone and context check
- Records check
- Accountable human approval
04
Create credible career evidence
Employers value a controlled improvement more than generic enthusiasm. Record the original process, approved tool, safeguards, time saved, quality check and measurable result.
