01

Use the first paragraph to establish fit

State the role, your most relevant operating context and the value you bring. Do not spend the opening describing your excitement or repeating the organisation’s own website.

The reader should understand within four lines why your background belongs in this process.

I am applying for the Executive Assistant to Chief People Officer role with six years supporting people and transformation executives across a 4,000-person health workforce. My experience combines confidential employee matters, executive committee coordination and disciplined follow-through across distributed sites.

02

Select two or three proof themes

Choose evidence that answers the most consequential parts of the role. For a CEO EA, this may be judgement, board coordination and external stakeholders. For a project executive, it may be action tracking, reporting and multi-site logistics.

  • Executive time and competing priorities
  • Confidentiality and stakeholder judgement
  • Governance, papers and decisions
  • Improvement, projects or team leadership

03

Interpret rather than repeat

Your resume records where you worked. The letter should explain why those experiences predict performance here. Connect the employer’s operating environment to evidence you already have.

Because this role sits between the General Counsel and a large legal division, my most relevant example is redesigning the approvals workflow for sensitive legal correspondence while preserving version control and response deadlines.

04

Close with practical confidence

Confirm interest and readiness without exaggeration. If the advertisement requests salary, availability or work rights, answer precisely. Do not introduce a new unproven claim in the final paragraph.
